Seating Plan

Manage guest lists, track dietary requirements, and assign seats to specific tables.

The Seating Plan panel allows you to create and manage guest lists for your event. You can allocate specific seating positions at numbered tables and track individual guest requirements directly on your floor plan.

Seating Plan Overview

Open the Seating Plan panel by pressing (P) on your keyboard or by selecting the icon in the Right Toolbar.

Adding Guests

To add a guest to the current layout, click the icon in the top-right corner of the Seating Plan panel.

Enter the guest's details and optionally assign a table, chair position, and any specific requirements.

You can also bulk import guests from a .csv spreadsheet using the Import From File option at the base of the panel.

Good to know: Only tables with assigned numbers are available for seating allocations. By default, new objects are created with a number of "0" and will be omitted from the seating list until numbered.

Managing Guests and Tables

There are two primary views available to help you organise your event:

  • All Guests: A comprehensive list of every guest added to the layout. From here, you can search by name, filter by specific requirements, and select guests to edit their details.

  • By Table: This view allows you to see allocations on a per-table basis. Select a chair position to assign a guest or swap seats quickly.

Canvas Previews

While the Seating Plan panel is open, you can hover over tables on the canvas to see a live preview of their seating allocations.

Selecting a table on the canvas will automatically switch the panel to the By Table view for that specific table.

Table Snapshots

When a single table is selected, you can use the Snapshot button at the base of the panel. This generates an editable text object on the canvas listing all guests at that table - perfect if you're looking to export your floor plan with a guest list included.

Note: Table snapshots are static "points in time." If you change your seating allocations, you will need to delete the old snapshot and take a new one to reflect the updates.

Guest Requirements

You can assign specific Guest Requirements (such as dietary needs or accessibility) to any individual. While a default list is provided, you can fully customise these.

Click the icon next to the requirements dropdown to manage the list. You have two options:

  • This Layout Only: Changes will only apply to your current active layout.
  • Default For All Layouts: Updates will be saved to your profile and applied to all future layouts created by you or anyone in your organisation.

You can add new requirements and assign custom colours to identify them at a glance within your guest list.

Exporting the Seating Plan

When the event is finalised, you can export your data as a professional PDF or a raw CSV file for catering and front-of-house teams.

The PDF export offers four sorting options to suit different team needs:

  • By Guest First Name (A-Z)
  • By Guest Last Name (A-Z)
  • By Table Number
  • By Guest Requirements (Ideal for the kitchen team)
